Step 05: Trace the money state
Goal: identify whether the funds are with the casino, approved, sent, returned or settled. A complaint becomes easier to understand when it is reduced to one unresolved decision rather than a history of every frustrating interaction. The case file should answer who did what, when it happened, what the operator said, what rule or transaction is disputed, and what outcome the customer is asking for. That structure helps support teams, independent mediators and formal dispute bodies understand the issue without having to reconstruct it from dozens of screenshots.
Keep: amount, currency, method, internal status and external payment reference. Evidence should be chronological and minimal. A withdrawal reference, transaction timestamp, complaint number, relevant terms version and a small number of messages can be stronger than a giant unlabelled screenshot folder. Lesson: state language directs the complaint to the right party.
